Interlibrary Loan Procedures

Definition

PI Interlibrary Loan - those libraries, schools, or information centers that request materials from the University of Maine at Presque Isle through the established state, regional or national network of interlibrary loan or authorized groups from those same institutions utilizing the Library for research purposes.

Procedure:

If the UMPI Library does not have an item you need, we can usually get it from another library. You can obtain an interlibrary loan request form at the Circulation desk. You may also download the form from this site or use the on-line interlibrary request form. Please fill out the form as completely as possible: the more information provided, the more certain the librarians will be able to get the item you need. Return the completed form to the Circulation desk. The form may also be fax to 768-9644. When the item arrives you will be notified by campus mail or U.S. postal service.

Cost:

Interlibrary loan is generally free. Occasionally a lending library will charge, and in that case, we have no choice but to pass the charge on to the requester. Be sure to indicate how much you are willing to pay on the ILL form.

Electronic Intercampus Request: (Requestor Function)

You may request books from other libraries in the UM System directly though URSUS. Search for your item as you normally would. When you locate the item, click on request. You will need to enter your name, barcode number and select Presque Isle as pickup location.

Policy

Interlibrary loan is a service that supplements the Library's resources by making available materials from other libraries which are not readily available or are missing from this Library. Interlibrary loan is available to faculty, staff, and students. The Library supports the National Interlibrary Loan Code, 1980, and the Model Interlibrary Loan Code for Regional, State, local, and other special libraries, 1980.

Courtesy Card:

Interlibrary Loan service to courtesy card patrons is limited to obtaining for those patrons books and periodical articles available in the libraries that are full participants in the URSUS system. UMPI library will not obtain for any courtesy card patron any item in any library outside of the URSUS system.

Fees:

Fees may be assessed on material received from a lending library. These fees may be charged to the faculty/staff's department if the material is to be used for research/teaching purposes, or a bill will be sent to the address listed on the interlibrary loan form. Students pay the fee(s) at the time of checkout. Failure to return interlibrary loan material on time or payment of charges incurred, will result in new requests not being honored and borrowing privileges being blocked until the material is returned or the fees paid.

Notification

It is the responsibility of the patron to check with the library to see if the material requested has arrived. Students and courtesy-card users (for UM system items) will be notified by postcard. Items requested by students and courtesy patrons will be held at the circulation desk for 10 days. Faculty/staff materials will be sent to their campus mailbox. Items not picked up within 10 days will automatically be returned to the lending library.

Number of Daily Requests

The library cannot guarantee processing more than three (3) requests per day per person. The loan period for each item is set by the lending library. Up to two weeks is usually required to process, mail, and receive materials. The time may be longer depending on the volume of requests and availability of the materials.

Non-ILL Items:

The Library excludes some items from interlibrary loan transactions: reference materials, textbooks for class use, entire issues of journals or newspapers, rare material, manuscripts, most av. formats, and items for reserves. The use of local libraries is encouraged to fulfill information needs.

Photocopies via Ill:

Photocopies received by the facsimile (fax) machine are not permanent. If a patron wishes to retain the material indefinitely, it is the responsibility of the patron to make a photocopy of that item.

About the ILL Form

  • The Interlibrary Loan form is to be used for requesting photocopies of articles not available at UM Presque Isle Library and/or for books not available in URSUS or Maine Infonet.
  • Patrons are responsible for checking on the arrival of materials - allow 5-10 days. Patrons will be notified by mail when the item arrives.
  • Complete the form entirely. The more information provided, the more efficiently the request will be processed.
